Requesting Software

How to request installation of applications and software.

Standard Software

Pre-approved and available to all:

  • Microsoft Office 365
  • Adobe Acrobat Reader
  • Web browsers (Chrome, Edge, Firefox)
  • Zoom
  • Teams
  • VPN client
  • Antivirus (McAfee)

Install from Software Center (Windows) or Self Service (Mac).

Self-Service Installation

Windows:

  1. Click Start menu
  2. Search for "Software Center"
  3. Browse available applications
  4. Click "Install"
  5. Wait for installation
  6. Launch when complete

Mac:

  1. Open "Self Service" app
  2. Browse or search for software
  3. Click "Install"
  4. Enter password if prompted
  5. Installation completes automatically

Requesting Additional Software

For software not in catalog:

  1. Go to IT Service Portal
  2. Click "Software Request"
  3. Provide:
    • Software name and version
    • Business justification
    • Manager approval
    • Budget code (if paid)
    • Number of licenses needed
  4. Submit request
  5. IT reviews for:
    • Security compliance
    • Licensing requirements
    • Compatibility
    • Alternatives available

Approval Process

Request goes through:

  1. Manager Approval: Business need verified
  2. IT Security: Security scan performed
  3. IT Licensing: License availability checked
  4. Budget Approval: If cost involved
  5. Installation Scheduled: Or added to catalog

Timeline: 3-5 business days typical

Licensed Software

Some applications require licenses:

  • Adobe Creative Cloud: Limited licenses, request access
  • CAD Software: Engineering only
  • Statistical Tools: By role
  • Project Management: PM and leads
  • Development Tools: Developers only

Check out/in licenses as needed.

Prohibited Software

Not allowed for security/policy reasons:

  • Peer-to-peer file sharing
  • Cryptocurrency miners
  • Hacking/penetration tools (without authorization)
  • Unlicensed/pirated software
  • Personal cloud storage (Dropbox, etc.)
  • Remote access tools (TeamViewer, etc.)

Mobile App Requests

Installing apps on company devices:

  • Use Company Portal app
  • Browse approved business apps
  • Tap to install
  • Or request new app through IT
  • Personal apps not allowed on company devices

Software Updates

Keeping software current:

  • Most updates automatic
  • Restart when prompted
  • Security updates mandatory
  • Feature updates scheduled
  • Critical updates pushed immediately

Browser Extensions

Adding browser extensions:

  • Some pre-approved and available
  • Check IT approved list first
  • Submit request for others
  • Security review required
  • Ad blockers generally not allowed

Uninstalling Software

Removing applications:

  • Use Software Center/Self Service
  • Or Windows Add/Remove Programs
  • Or Mac Applications folder
  • Don't manually delete files
  • Contact IT if admin rights needed

Software Issues

If software not working:

  1. Restart application
  2. Restart computer
  3. Check for updates
  4. Review error messages
  5. Submit support ticket
  6. Include screenshots

License Compliance

Everyone's responsibility:

  • Only install approved software
  • Don't share login credentials
  • Report unused licenses
  • Uninstall when leaving company
  • Audits performed regularly
  • Violations subject to discipline

Open Source Software

Using free/open source:

  • Security review required
  • License compatibility checked
  • Support may be limited
  • Submit request like other software

Cloud Services

Requesting SaaS applications:

  • Submit through IT portal
  • Security assessment performed
  • Data storage location reviewed
  • Compliance validation
  • Contract negotiation by procurement
  • Longer approval process

Development Tools

For developers:

  • IDEs (Visual Studio, IntelliJ, etc.)
  • Version control (Git)
  • Database tools
  • Testing frameworks
  • Request through development team lead
  • Some tools pre-approved

Specialized Software

Department-specific applications:

  • Accounting: ERP system access
  • Engineering: CAD, CAM software
  • HR: HRIS system
  • Sales: CRM (Salesforce)
  • Marketing: Design tools

Access granted based on role.

Training

Learning new software:

  • IT provides basic training
  • Online tutorials available
  • LinkedIn Learning access
  • User guides on knowledge base
  • Vendor training for specialized software
